POSITION: Treasurer
REPORTS TO: Principal
SALARY: State Salary Schedule
NATURE OF WORK: An employee in this position is responsible for keeping a complete record of all monies in his/her charge for a relatively small number of accounts through computerized or one-write accounting systems. The employee is also responsible for secretarial responsibilities such as typing, operating office equipment, screening mail, and coordinating substitute services. This employee often performs the duties of a receptionist at the school. Additionally, this employee is responsible for the accurate and timely reporting of payroll data for all employees at the school. The employee is evaluated through observations, work performed, and conferences with the Principal or his/her designee.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Additional Duties may be assigned.
- Answers telephone and greets visitors; directs calls and/or visitors. Screens mail and routes to appropriate personnel. Operates a variety of office machines. Types and files as needed.
- Maintains a current listing of substitutes and makes necessary contact to provide substitutes as needed.
- Issues written receipts for funds received and properly records these receipts to the correct school accounts. Maintains a school purchase order system.
- Prepares checks for the disbursement of funds for the Principal's signature and charges the expenditures to the correct school accounts. Reconciles bank account monthly. Prepares adjusting journal entries as needed
- Prepares a monthly statement of receipts and expenditures (Form L-4) showing amounts of all monthly and year-to-date receipts and expenditures for all school accounts. Prepares analyses of individual school accounts or transactions. Maintains an accounts payable system. Reports school employee absences to payroll department. Identifies paid invoices by a systematic filing system Maintains system of filed school purchase orders to document paid invoices. Performs related duties as assigned by the Superintendent or his/her designee.
SECONDARY JOB RESPONSIBILITIES:
Responds to routine requests for information. Contacts parents as needed. Checks students in and out.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Considerable knowledge of payroll software with the latest computer terminal skills.
- Considerable knowledge of the latest payroll regulations consistent with federal, state and local requirements.
- Ability to communicate with all employees.
- Ability to determine priorities in order to complete payrolls.
- Ability to be flexible when payroll preparation circumstances require alternative actions.
PHYSICAL DEMANDS:
- Must be able to physically perform the basic life operational functions of stooping, kneeling, crouching, reaching, standing, walking, fingering, grasping, talking, hearing and repetitive motion.
- Must be able to perform sedentary work exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- Must possess the visual acuity to prepare and use figures, to operate a computer terminal and other office equipment and to do extensive reading.
REQUIRED EDUCATION AND EXPERIENCE:
- Graduation from a two-year college with a business degree preferred or a minimum of at least two years experience in a business office preferably in processing.
- Preference given to experience in School Business.
